About the Position

AmeriSpec is a small but dynamic company specializing in home energy assessments and inspections for new construction and existing homes. We are committed to helping homeowners enhance energy efficiency and providing excellent customer service to our clients and partners.

We are seeking an Assistant Program Manager to join our team! This role is crucial to the smooth operation of our office and involves scheduling energy advisors and subcontractors for site visits, maintaining accurate customer records, and performing various clerical tasks. The ideal candidate will possess excellent multitasking abilities, strong numerical skills, and be keen to take initiative.

Qualifications

  • Proven experience as an office administrator/coordinator/manager, scheduler, project coordinator, or other relevant role.
  • Excellent customer service and communication skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy.
  • Proficiency with Excel and Word.
  • Good knowledge of Nova Scotia regions

Assistant Project Manager is responsible for a number of day-to-day tasks, some of which may include:

  • Scheduling and Coordination: schedule and coordinate site visits for energy advisors and subcontractors, ensure efficient routing and timing of appointments to optimize advisor productivity. Collect and accurately record customer information for smooth operations. Create, manage, and process submissions. Handle multiple projects simultaneously at various stages and locations.
  • Customer Service: provide excellent customer service through phone, email, and in-person interactions. Address customer inquiries and issues to ensure satisfaction.
  • Administrative Duties: perform data entry with a high level of accuracy, maintain organized files, and assist with general clerical tasks as needed. Identifying problems and offering efficient solutions. Create reports on project progress and submitting them to Project Managers and/or Owner.
