We are looking for a reliable and enthusiastic Office Administrator to cover a maternity leave with possibility of permanent hire after October 2025. They will undertake administrative tasks to support the business's day to day needs and provide support to staff and clients.The tasks of the office administrator will include bookkeeping, payroll, accounts receivable/payable, answering phones and emails, as well as other duties. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.The office administrator ensures smooth running of our company’s office and contributes in driving sustainable growth.
Responsibilities would include:
Manage agendas/appointments/meetings etc. for project management
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures using Quickbooks Online & Knowify
Tracking staff hours and submitting payroll
Create, update, and maintain personnel, financial and other data using our accounting systems and spreadsheets
Track stocks of office supplies and place orders when necessary
Track job site purchasing
Invoicing clients
Assist colleagues whenever necessary
Proven experience as an office administrator, office assistant or relevant role
Outstanding communication and interpersonal abilities
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
Knowledge of Microsoft Office/Google Drive (or similar) and Quickbooks
High school diploma or equivalent; diploma in office administration or relevant field
